Advanced Process Solutions (APS) is a UK-based engineering firm specialising in delivering bespoke pipework and mechanical systems for liquid, gas, and pneumatic applications. As their operations scaled, APS found themselves increasingly burdened by inefficiencies in workforce management and labour coordination. They approached Developyn to design and deliver a fully integrated digital system that could replace manual processes, improve site coordination, and enhance subcontractor experience.

APS was managing a complex network of subcontractors and multiple work sites using traditional spreadsheet tools and paper-based documentation. Labour was allocated manually, and communication with subcontractors was handled through email and phone calls, making it difficult to adapt to last-minute changes or track real-time availability. Their induction process was entirely paper-based, requiring subcontractors to complete forms and competency checks on-site, which led to administrative overhead and frequent data loss.
The existing workflow created bottlenecks in scheduling and miscommunications about worksite allocations. In addition, there was no centralised location where subcontractors could view their shifts, clock in or out, or track their job history. APS also had sustainability goals and was eager to reduce paper waste while improving operational transparency.
The company needed more than just a digital form of their spreadsheets, they needed a complete reimagining of how labour was managed, from induction to timesheet submission.

Developyn collaborated closely with APS to design a custom platform that would digitise and automate their labour allocation process from end to end.

First, we overhauled their public-facing website with a fresh, modern design that better reflected their professional brand and growing business. Alongside the new website, we built a bespoke web dashboard using SvelteKit. This dashboard provided APS administrators with an intuitive interface for managing users, job sites, labour allocations, and real-time timesheet data, all from a single place.

To empower their subcontractors and reduce friction, we developed a cross-platform mobile companion app using NativeScript. The app enabled subcontractors to complete digital self-inductions in multiple languages, upload documents and certifications, and indicate their availability for upcoming jobs. Once inducted, users could receive automated job allocations, clock in and out of worksites with time-stamped records, and submit their daily timesheets directly through the app.

The web and mobile platforms were fully integrated, ensuring that admins always had up-to-date data on who was available, where they were working, and how many hours they had logged. The timesheet data was securely stored in a cloud database and could be reviewed, exported, and audited from the admin dashboard.

To support scalability and future growth, all systems were designed with modular architecture, allowing APS to easily add new features such as document compliance checks, multi-site reporting, or health and safety modules in future development cycles.

Since launching the new system, APS has experienced a dramatic shift in how efficiently they manage their workforce and coordinate job sites. The labour allocation process, which previously took several hours of administrative work each week, is now handled in minutes through the dashboard. Subcontractors can view their shifts and availability on the mobile app without needing to chase paperwork or respond to ad-hoc emails.

The paper-based induction and clock-in process has been entirely replaced with a digital alternative, significantly reducing paper waste and improving record accuracy. Admins now have access to real-time data on subcontractor performance, location, and job completion, which has improved both scheduling accuracy and accountability across projects.

Additionally, the system has improved the subcontractor experience, providing them with greater clarity over their roles, a modern way to manage documentation, and a mobile-first experience that reflects APS’s commitment to innovation and efficiency.
